How to choose a virtual office without getting caught out

Choosing a virtual office is mostly a matter of reading what is not on the pricing page. The address is the easy part; every provider on this site can give you one that Companies House accepts. The differences that cost money are the post policy, the contract term, the setup and identity fees, the VAT treatment and, more often than you would expect, who actually owns the brand you are buying from.

Quick answer: Decide what the address is for, price the whole year including add-ons and VAT, get the post policy in writing, read the contract term and exit fees, check who owns the provider, have your ID ready, and look at the building on a map. Seven steps, in that order.

What should the address be for?

The purpose of the address decides the tier. A registered office to keep your home off the register needs a £19 to £69-a-year formation agent plan. An address customers will see needs a monthly plan that permits trading use and accepts general post. Meeting rooms, a receptionist or desk days need a workspace operator, at £31 to £479 a month.

Most people overbuy. If nobody but Companies House and HMRC will write to the address, the statutory-mail plan is the right product and the cheap price is not a warning sign. The legal floor is low and clearly defined; the legal minimum a registered office must meet is that someone signs for post and passes it on. If the address is going on your website, the question changes to which of the three addresses you are actually buying, because the cheap plans include only one of them.

What is the real annual cost once the extras are added?

The real annual cost is the headline price plus the director's service address, plus post handling, plus setup and identity fees, plus VAT where the provider quotes without it. Worked through for a year, that total routinely reorders a shortlist.

What does the post policy say in writing?

The post policy determines whether the plan works at all. Ask five questions and get the answers in writing: statutory post only or all business post, scanned contents or envelopes, per-item or bundled forwarding, the monthly item cap, and the parcel policy.

Per-item pricing is where quiet plans stay cheap and busy ones do not: 50p an item plus postage at The Hoxton Mix, 75p a scanned letter at UBC, £4.25 a forward at Mail Boxes Etc⁴. What are the contract terms?

Contract terms range from rolling monthly with no notice to twelve months paid in advance with no refund. A cheap annual price is not cheap if you close the company in March, and a promotional first-year price tells you nothing about year two.

Read UBC's published fee schedule as a model of what to look for, then check whether your preferred provider publishes one at all; most workspace operators do not. Mail Boxes Etc's pay-in-full terms are the other end of the scale, and its prices differ from store to store, so a quote in one town says nothing about the next⁷.

Who actually owns the provider?

Several apparently competing brands in this market are one company, and several well-known names are white-labelled from another provider. It matters if you are choosing between two options for resilience.

1st Formations and Rapid Formations share a parent group and trade from the Covent Garden building both formation agents share, with identical £39 registered office prices¹. Ghost Mail Ltd runs at least four consumer brands from the same Herefordshire addresses. Tide's virtual office is powered by The Hoxton Mix. Capital Office is the operator behind Your Virtual Office London. Companies MadeSimple sits inside the Moneypenny group, and the "from £29.99 a month" on its virtual office page belongs to its sister brand London Presence. Landmark Space became Elementa Workspace, formerly Landmark Space, in July 2026 while its old Trustpilot profile, at 1.5 from 51 reviews, stayed behind¹⁰. What ID will you need, and how fast is setup?

Every legitimate provider must run anti-money-laundering checks before acting for you, so have a passport or driving licence and a proof of address dated within three months ready before you start. Once the checks clear, same-day or next-day activation is normal at the digital-first providers.

Published turnarounds run from Uniwide's 3 to 24 hours, through 24 hours at Virtual HQ, Wizu and Titanic Suites, to within one business day at The Hoxton Mix and 24 hours for most applicants at Work.Life¹¹. The documents are the slow part. Wizu wants ID from every owner of 25 per cent or more; Work.Life will not take a company that is not yet incorporated. On the Leeds virtual office addresses page, Wizu's Business tier with Companies House use is the one to pick over its Basic tier, which does not include registration¹³.

Does the address itself stand up?

Put the address into a map and look at the building. Then look at how many reviews the provider has, not just the score, because in this market almost everyone scores between 4.4 and 4.9 and the sample size is what separates a track record from three happy customers.

The formation agents have the numbers: 1st Formations is rated 4.8 from 23,687 Trustpilot reviews, Rapid Formations 4.8 from 12,121, Companies MadeSimple 4.8 from 5,006 and Capital Office 4.9 from 3,831¹². The mailbox chains are respectable: Mail Boxes Etc 4.4 from 1,999, UK Postbox 4.4 from 809, Virtually There 4.5 from 517¹². The workspace operators are barely reviewed as virtual office providers at all: Work.Life 4.4 from 21, Wizu 4.2 from 8, Fora 2.5 from 6¹². Shared addresses are normal; 1st Formations, rated 4.8 from 23,687 reviews, puts thousands of companies at one Covent Garden building¹. Elsewhere, Manchester virtual offices range from Orega's serviced floors to independents, and the virtual offices in Liverpool include operators with no Trustpilot presence at all.
